Participant Information

We have selected the cantata for this Christmas (2008) & I'm ready to place an early order for songbooks & listening CDs.  This brand new cantata includes a tremendous message & very powerful music in a blend of narration & songs that are both new & part of our Christmas tradition.  It involves solos, ensembles & a group of young voices!  It has already deeply moved me spiritually & I know you will also be touched by it!  I'm thrilled & thankful to have this musical ministry opportunity!

Some of you in the past have asked for pre-season access to our materials so you can begin to enjoy & learn the music prior to our first assembly on October 6.  Prices for supplies are the same as during 2007, so songbooks & listening CDs can be priced the same as before.

  • Songbooks @ $15/each
  • Listening CDs @ $20/each

I'm excited & anticipate this will be a tremendously joy-filled season.  Please let me know by Wednesday, June 25, if I should order materials for you now.  Then, please follow your order with a check.  If you don't want anything yet, but do want to commit for later, tell me that, too.  We will order again in early to mid-September.

1. GREETINGS!  Linda and I are excited to welcome you to this season’s COMMUNITY CHRISTMAS CANTATA CHOIR!  We have selected ”UNSPEAKABLE JOY”, created this year by Lari Goss and Claire Cloninger.  We pray that God will be pleased and glorified as we worship and praise God and minister to others in song.  Listen to and study the lyrics:  feel and believe them and they will minister to you, too.  It will be fun and spiritually uplifting!  Our piano accompanist is Debbie Schrepel.  We hope to involve bells, drums, flute, guitars horns and synthesizers.  To help us do as well as we are able, please conform to the following guidelines.  We are not a “select” group of singers assembled by audition, but we are Called to honor God with excellence through the very best music we can perform.  In that respect, it is important that we blend our voices.  We are not all individual soloists, but a choir Called together to blend our talents as one.  Thank you very much for your commitment to our Lord and your respect and trust in Linda and Lee’s shared leadership!  God bless you in this wonderful ministry.

2. CHECKING IN:  Please sign in with your name, singing part, telephone number, your email address (if any), and then pay Linda for your songbook (mandatory @ $15) and listening CD (optional @ $20).  If you are uncertain whether your voice range is that of a first or second soprano or a first or second alto, please let us help you find your appropriate part (this project is a partnership ~ we all need to participate in the role that is best suited for the gifts God has given).  There may not be enough materials for everyone now, so more will be promptly ordered, but they may not arrive for about two weeks.  Mark your name inside your book and on your CD.  If you leave the choir, please give us the opportunity to help you sell your materials to another participant (or an audience member). We cannot return any materials to our supplier for a refund or credit.

3. MORE:  We intend to involve Prayer Partners again.  All singers are asked to memorize their parts (no books in November and December)!

4. WEEKLY GROUND RULES:

Thank you to this congregation for warmly hosting us again!  We must be gracious guests, respecting this facility and our hosts’ traditions, returning this area to its pre-rehearsal condition (or better).  Please leave dirty shoes at the door!

·    In order for us to start and finish on time, use your arrival and departure (our set-up and tear-down times) for fellowship.  Please be ready to begin on time for rehearsals with music and pencil.  If you must arrive late or depart early, please respect the choir by doing so with minimal disruption.

·   We will start every session with prayer and vocal exercises (it also helps if you arrive with your voice already warmed).  Seeking more efficient and coordinated vocal function, Linda will encourage you to hold your jaw and do proper breathing to produce a clear, resonant sound.  This should result in greater endurance and sound quality.

·    If you would like to lead our opening prayer, please let me know.

·   Please be sensitive to, and respect, the needs, sensitivities and allergies of other singers by avoiding the use of perfumes, aftershaves, colognes and fragrant soaps, hairsprays, lotions, garlic and onions prior to rehearsals and performances.  (Note that some clothing will retain fragrances used during a previous wearing.)

·    Do as much as you can between rehearsals to learn your part and build your confidence.

·    Due to the size of the group, please help us stay focused and on-task, refraining from distractive conversation, comments or behavior.

·   Bring a pencil to every rehearsal and, as we work through the music, MARK YOUR BOOK to remind yourself of what we work on from session to session (so we don’t need to repeat the same corrections at the next rehearsals).

5. STILL MORE:  Tell me soon if you wish to be considered for a solo or small ensemble part.  Prepare the part you want to sing.  If there are many who wish to be considered and we already know the characteristics of your voice, you may or may not be asked to audition.  I hope to have an “understudy” for each primary soloist for situations such as illness and scheduling conflicts.  Understudies may not actually be called upon to perform.  We will hear individuals for solo or ensemble parts as a part of our regular rehearsals.  You may or may not be asked to sing an entire song.  Although you may sing something several times, please do not assume the part is yours until you are told so just prior to our performance season.  If we offer suggestions on how a song can be improved, please be open and take our remarks constructively.  We need help with promotion, website maintenance, audio, video, risers and a sponsor to pick up some expenses associated with the production.

6. RECYCLING:  When we finish in December, if you give me a stamped and self-addressed postcard, our first rehearsal next autumn will be easy to announce.  I will also try to reach those of you with email addresses next season and we will post our plans on the choir’s website.  You can also give me songbooks (please mark them with your name) from this and previous cantatas to store in our “archive” for possible future re-use.

7. FCI and FCC SHERIDAN:  Though we don’t know if we will be invited again this season, FCI and FCC Sheridan limits all groups to 25 members.  For security purposes, FCI and FCC require advance submission of legal names, social security numbers, dates of birth and a contraband declaration.  Please complete FCI and FCC paperwork in blue or black ink and return it promptly.  We must also declare if you have metal installed anywhere within your body.  If you will not be 18 years old when we go to Sheridan, you cannot go with us.  (Take exit 33 from Highway 18 for Sheridan.  Check in at the “phone booth” as a singer in the choir for the Camp.  Proceed past the administration building and the “Camp” (on the left) to the “Jail” or “Detention Center” (on the right).  Park outside the Jail and quietly assemble in the lobby.  Know the license number of the vehicle in which you are riding.  Do not carry or wear any more metal than absolutely necessary (under-wire bras are prohibited).  Leave purses, wallets, pocketknives, cellular phones, pagers, remote control units for garage and car locks and alarms, and “mace” outside or at home.  Do not wear jeans, denim, khaki or forest green clothing.  We usually invite a few inmates to sing with us.  Bring your songbook!  Arrive as close to [TBA] as possible.  You must carry your photo ID with you!)

8. SUGGESTIONS:  The following are some suggestions for singers.  Please keep this information for future reference.

·        Don't shout, cheer or chant loudly or converse in a noisy environment.

·        Don’t consume dairy products just before singing.

·        Don’t drink beverages containing alcohol or caffeine (including mouthwashes and gargles).  These dehydrate you.

·        Don’t clear your throat or cough frequently.

·        Don’t practice singing over loud music.

·        Don’t try to hit the highest or lowest notes in your range more than once or twice while practicing.

·        Drink eight glasses of free liquids per day to keep oral secretions thinned.  Add a little lemon juice to your water.

·        Avoid whispering.

·        Limit speaking during the day you plan to sing.

·       Warm up in an easy manner before singing.

10. TENTATIVE PERFORMANCE DATES, TIMES & LOCATIONS:  Except for FCC-Sheridan, arrive to warm up, work on our rough edges and settle in one hour before performances begin (note 90-minute exceptions indicated below).

Performance dates, times and locations are being negotiated and tentatively established.  Major criteria for performance venue involve acoustics, seating capacity and piano quality.  Host sites are expected to aggressively publicize our presentation and invite the community, have childcare available, serve refreshments afterward, have their rooms pre-heated and pianos recently tuned.  Performance attire includes that in which you feel comfortable singing and worshiping, such as dressy church clothes.  No jackets for men, but plain vests and sweaters are fine.  Ties for men are optional, but should be rather plain and fit within the choir’s color guidelines.  I suggest you watch for bargains at clothing sales at Penney’s and second-hand stores like New To You.  Please dress in plain, solid colors of RED (not burgundy) and BLACK (not gray) this season.  You looked wonderful dressed this way during recent seasons.  Since we stand for the duration of some rehearsals and all performances, if you need a stool, please be responsible for securing your own.  You should be able to be without your water bottle during performances unless you are a soloist or there are unusual circumstances.  Use of water bottles during performances should be as inconspicuous as possible.  Please pass a note to me indicating which dates during the 11/27 – 12/22 period will be impossible for you to perform.  Please invite family, friends, co-workers and congregations and help us put up promotional posters in the area.

NEW & UPDATED Performance schedule completed!  As usual, we won't plan for more than 9 dates or confirm ANY dates until we have determined availability of participants.  Please bring your calendar to rehearsals.  If this schedule works for the choir & hosts, here's how our calendar looks (Notes:
(1) We cannot accept all invitations.  We will prepare a season offering the greatest opportunity to reach people with the Message we've been entrusted to share.
(2) Host organizations should double-check dates & times listed below.
(3) Participants should re-confirm their availability with me particularly if they are indicated here as absent.)
:It is crucial that you keep the Conflict Calendar current!  It's much more than the courtesy of making us aware when you will be absent.  We need to know what dates you are not willing or able to sacrifice to be present so that every effort can be expended to avoid scheduling conflicts & absences for our community appearances.

11. COMMUNICATION:  Periodic updates will be broadcast by email.  Paper copies will be available for those not using email.  The choir’s website, www.CantataChoir.org, will occasionally be updated with information for choir members, potential participants and audience members.  Check it frequently.  A phone tree will be developed to help us distribute last-minute information such as the cancellation or postponement of a rehearsal or performance due to inclement weather.  Please contact me if you cannot attend a rehearsal, either the week earlier, by note, telephone (503-662-3926), fax (503-662-4270), cellular (503-939-1562) or email (Lee@FruithillInc.com).  Please also call (after noon the day of) if you are uncertain if weather or other conditions may have resulted in cancellation of a rehearsal or performance.  Please communicate with me in written or electronic form so I don’t lose track of what is said during the commotion of a rehearsal.  Please give a note to me very soon if you wish to be considered for a solo or small ensemble part.
